Windows displays a message saying it is not activated, or the Activate Windows watermark appears on the desktop, or Settings shows an activation error with a specific error code. An unactivated Windows installation limits personalization options (you cannot change the wallpaper or theme), shows persistent watermarks, and may eventually display more aggressive reminders. Windows activation ties your license to your hardware, and activation errors occur when this link breaks — typically after a hardware change, a reinstallation, or a license conflict.
What Windows activation means
Activation verifies that your copy of Windows is genuine and not being used on more devices than the license permits. When you activate Windows with a product key or a Microsoft account, Microsoft records a hardware fingerprint of your computer. As long as the hardware matches, Windows stays activated
Digital licenses (linked to your Microsoft account) automatically reactivate when you sign into the same Microsoft account after reinstalling Windows. Product key licenses must be entered manually and are tied to specific hardware rather than an account
Activation is separate from updates. An unactivated Windows can still receive security updates, but Microsoft may limit some features and display reminders until activation is completed
Run the activation troubleshooter
Open Settings, System, Activation. If Windows is not activated, you will see an error message and an option to Troubleshoot. Click it. The troubleshooter checks common activation problems and attempts to resolve them automatically
If you have a digital license linked to your Microsoft account, the troubleshooter can reactivate Windows by matching your account to the hardware. When prompted, select I Changed Hardware on This Device Recently and sign in with the Microsoft account that holds the license
The troubleshooter displays a list of devices linked to your account. Select the device that matches your computer and click Activate. If the hardware has changed significantly (motherboard replacement), you may need to select the old device entry and transfer the license
Re-enter the product key
If you have a product key (a 25-character code in the format XXXXX-XXXXX-XXXXX-XXXXX-XXXXX), enter it manually. Open Settings, System, Activation, and click Change Product Key. Enter the key and click Next. Windows contacts the activation servers and attempts to activate
The product key may be on a sticker on the computer (for OEM licenses), on the packaging of a retail Windows copy, or in an email from the Microsoft Store if purchased digitally. For computers that came with Windows pre-installed, the key is embedded in the BIOS and Windows should read it automatically
If the key is rejected with an error saying it has been used on another device, the key may have been activated on a previous installation that was not properly deactivated. For retail licenses, you can deactivate the old installation and reactivate on the new one. OEM licenses are tied to the original hardware and cannot be transferred to a different computer
Common activation error codes
Error 0xC004F074 means the Key Management Service (KMS) could not be contacted. This is common on computers that use volume licensing (business environments). The computer needs to connect to the organization KMS server to activate. If you are on a company network, ensure VPN or network connectivity to the activation server
Error 0xC004C003 means the product key is not valid. The key may be for a different Windows edition (using a Pro key on Home, or vice versa) or the key may have been blocked by Microsoft due to suspected piracy. Verify the key matches your installed edition
Error 0xC004F213 means no product key was found. This occurs on new installations when the BIOS-embedded key does not match the installed edition. Reinstall the correct edition that matches your hardware license (usually Home for consumer laptops)
Error 0x803F7001 means a valid license was not found. This can occur after a major hardware change. Use the activation troubleshooter to link the new hardware to your digital license
Fix activation after hardware changes
Replacing the motherboard is the most common hardware change that triggers deactivation because the motherboard serial number is the primary component in the hardware fingerprint. Minor changes like adding RAM or swapping a hard drive typically do not affect activation
If you have a digital license linked to a Microsoft account, use the activation troubleshooter to reactivate after a motherboard change. The troubleshooter lets you transfer the license from the old hardware to the new hardware
If you have an OEM license (the computer came with Windows pre-installed from the manufacturer), the license is tied to the original motherboard. Replacing the motherboard may invalidate the OEM license. Contact the computer manufacturer or Microsoft support for assistance with OEM reactivation after a motherboard repair
Fix activation after reinstalling Windows
If you reinstalled Windows on the same hardware, activation should happen automatically. Ensure the computer is connected to the internet. Windows contacts Microsoft servers during setup and checks the hardware fingerprint against its database. If the hardware matches a previously activated installation, it activates automatically
If automatic activation does not occur, wait 24 hours and try again. Microsoft activation servers sometimes take time to process, especially after a fresh installation. The computer may activate on its own after a period
Make sure you installed the same Windows edition that was previously activated. If the computer had Windows 11 Home and you installed Windows 11 Pro, the Home product key cannot activate Pro. Reinstall the matching edition
Activate by phone
If internet activation fails, you can activate by phone. Open Settings, System, Activation, and look for an option to activate by phone. Windows provides a toll-free number and an installation ID. Call the number, enter the installation ID using the phone keypad, and receive a confirmation ID to enter on the computer
Phone activation connects you to an automated system that verifies the installation ID and provides the confirmation code. If the automated system cannot complete the activation (because the key has been used too many times), it transfers you to a live agent who can help resolve the issue
Check for time and date errors
Windows activation relies on secure communication with Microsoft servers. If the computer date and time are significantly wrong, the security certificates used for activation fail validation. Ensure the date and time are correct: open Settings, Time and Language, Date and Time, and enable Set Time Automatically
Also check the time zone. An incorrect time zone with the correct local time results in a different UTC time, which can cause certificate validation failures during the activation handshake
